A Musty Hotel Conference Room Cost 2.4 Million Baht a Year: Six Delegates Reacted on Day One

Why mopping and spraying before the event is not enough, and why ozone is becoming the new banquet standard

A conference room used four days a month sits sealed for the other twenty-six, then opens its air conditioning to welcome a hundred executives. Most hotels have never thought that through.

Khun Thanakrit is 47 and general manager of a 120-room hotel in Hua Hin. The property has four function rooms, from a 20-seat boardroom up to a ballroom that seats 250.

Corporate business is the hotel's lifeline — about 38 percent of annual revenue — and the largest single client was an insurance company running four executive seminars a year on contracts worth 2.4 million baht.

In February 2025, on the first day of a three-day seminar, six of the 140 delegates had to leave the room within the first two hours, sneezing, streaming and struggling to breathe. One of them was the company's vice president.

The story

The two hours that ended a four-year contract

Khun Thanakrit was in the room himself that morning. He says that when he opened the door at seven he caught a faint musty note, assumed it was normal for a room that had been closed a while, and told staff to run the air conditioning at full power and spray air freshener throughout.

By the time delegates came in at nine the smell had gone. Everything looked in order — until about half past ten, when one woman began sneezing continuously and excused herself.

Within the next forty minutes five more followed her out. One was the vice president, the person who approves the hotel contract every year. Over lunch she told Khun Thanakrit directly that she is allergic to mould, and that this room definitely had mould in it.

He explained that the room had been cleaned the previous day: floor mopped, tables and chairs wiped down. She said she believed him. But what she was reacting to was not on the floor. It was in the air coming out of the vents.

A room sealed shut twenty-six days a month

After the event he had a technician open the ceiling to inspect the ballroom's air conditioning. What he found made him sit down on the floor. The coil and the condensate tray were coated in sheets of black-green growth, and the duct work held thick dust mixed with moisture.

Working backwards, he found a very simple truth. The ballroom was used on average four days a month, which meant it stood sealed with the air conditioning off for twenty-six days a month — in a province where relative humidity averages over 75 percent for most of the year.

A sealed room with no air circulation, thick carpet, hundreds of fabric chair covers, heavy curtains, and a static air conditioning system holding condensate in the coil provides everything mould requires.

And on event day, staff ran the air conditioning at full power for two hours before the guests arrived. What that actually did was blow a month's accumulated spores out at their most concentrated, into a sealed room that 140 people were about to sit in.

The contract that was not renewed, and what followed

The insurance company completed the three days as scheduled, then did not renew for the following year. The letter was very polite: it said only that the company had revised its venue selection policy.

Khun Thanakrit knew exactly what that meant. Two point four million baht a year, gone in a single day, from an incident lasting two hours.

What followed was worse. The vice president sits on the committee of a business association, and within six months the hotel lost seminar bookings from three more organisations that had been regular clients — roughly another 1.7 million baht.

He says he can never prove those three were connected. But in the MICE business, where the decision makers all know each other, he did not need proof to know.

Everything they tried that was not enough

The hotel's first move was to service every air conditioning unit in all four function rooms, at close to forty thousand baht. It genuinely helped to a degree. Two months later the musty smell was back.

Next they replaced the entire ballroom carpet, at over eight hundred thousand baht. The room looked dramatically better and the smell was gone for about three months, until the rainy season brought it back.

They also ran dehumidifiers in the function rooms between events. That helped the air humidity, and was worth doing, but it did nothing to the mould already growing in the coil and the duct work.

The turning point came when a new housekeeping manager, recently arrived from a large chain hotel in Bangkok, asked Khun Thanakrit why they did not ozone-treat the function rooms before every event. At her previous property, she said, it had been standard for five years.

What it actually costs

One corporate client is millions of baht a year

Losing a corporate account is not like losing a room night. A four-seminar contract worth 2.4 million baht disappeared in a day, and replacing a corporate client takes a year, not a week.

MICE decision makers all know each other

Corporate event organisers move in the same circles, sit on the same association committees, and compare experiences constantly. One incident in one function room does not stop at one client — it spreads through the whole circle within months.

You are responsible for the health of 140 guests

Six delegates reacting within two hours is not coincidence. It is evidence that the airborne spore load was high enough for bodies to respond — and legally and reputationally, the hotel owns that space.

The more you invest in the room, the more the odour costs you

Hotels invest millions in carpet, chair covers, audio and lighting for function rooms. What delegates remember from a three-day seminar is the smell when the door opened on day one, and their colleagues sneezing.

Why the usual fixes fail

Scheduled air conditioner servicing

Servicing cleans the coil and removable filters. It cannot reach inside the duct work, the ceiling void, or the deeper parts of the condensate tray. In a sealed humid room the surviving mould repopulates the system within two to three months.

Replacing the whole carpet

An eight-hundred-thousand-baht carpet solves the old carpet's problem, not the air conditioning system that is the actual source. Once spores are blown from the duct work onto the new carpet in high humidity, the new carpet develops an odour within months.

Spraying air freshener before the event

Air freshener masks odour for an hour or two — conveniently the window when guests walk in. It does not reduce the airborne spore count at all. People who are allergic still react, and now the room smells of fragrance as well.

Running the air conditioning at full power two hours ahead

This makes things actively worse. It blows the spores and microbes accumulated over twenty-six days out of the system all at once at maximum concentration, into a sealed room, right before the guests sit down in it.

Running dehumidifiers between events

Dehumidifiers do reduce room humidity and are worth having. But they do not kill the mould already established in the coil and duct work. Lowering humidity slows further growth; it does not remove what is already there.

The problem is inside a system that cannot be dismantled, not on a surface that can be wiped

Everything the hotel tried shared one limitation: it only works on what you can reach. Carpet can be replaced, floors mopped, chairs wiped. But the duct work running the length of the ballroom above the ceiling cannot be taken out and washed by anyone.

And that is where the problem actually lives. Mould in the air conditioning system is the source that pushes spores into the room every time the fan runs. As long as that source remains, the room will always come back — however many carpets you replace.

Ozone solves it because it is a gas. Released into a sealed room with the air conditioning set to recirculate, ozone is drawn into the vents, through the coil, across the condensate tray, and throughout the duct work. Where it meets mould or spores, the third oxygen atom breaks away and destroys the cell wall, while the same cycle breaks down odour molecules held in the carpet, curtains and chair covers. Then the ozone decomposes back to oxygen, leaving no residue on surfaces guests touch and adding no humidity to a room that already has a humidity problem.

10 reasons ozone treatment solves it

1. It reaches the duct work and coil that cannot be washed

With the air conditioning recirculating during the cycle, ozone is drawn through the entire system — coil, condensate tray, and the duct work above the ceiling along the full length of the room — the true source of spores that servicing cannot reach.

2. 99.99% removal of embedded mould

Testing confirms 99.99% removal of deep-seated mould in air conditioning systems and furnishings, with virus and bacteria kill an order of magnitude beyond that. For a room seating 250 people, that is the level required.

3. Carpet, curtains and chair covers treated at the same time

Ozone penetrates the fibres of thick carpet, heavy curtains and hundreds of chair covers — the materials that hold the most odour and trap the most spores — without removing them for laundering, replacing them, or adding moisture.

4. The Master Ozone Generator is certified by the Department of Medical Sciences

WHD uses the Master Ozone Generator, the only ozone brand in Thailand certified by the Department of Medical Sciences, Ministry of Public Health, and tested by Intertek UK — documentation your sales team can put in a corporate proposal.

5. No chemical residue on surfaces guests touch

Ozone decomposes back into ordinary oxygen. No deposit on conference tables, no film on chairs, no chemical smell for delegates to ask about, and nothing to wipe off before the event starts.

6. It adds no humidity to a room that already has a humidity problem

Steam treatment and carpet shampooing add water to a sealed damp room, which feeds mould directly. Ozone is a dry gas and leaves no moisture behind as fuel for the next cycle.

7. About thirty minutes per cycle, done the night before

The automatic digital timer cycle runs roughly thirty minutes — two to start, twelve to disperse, twelve to purify, twelve to rest. The team works the night before the event and the room is ready in the morning.

8. Nothing has to be moved out

Ozone is a gas, so it travels under the stage, behind backdrops, into equipment cupboards and around a room already set for the event. Your banquet team can set up in advance as normal.

9. It is the standard at global hotel groups

The Ritz-Carlton, Fraser Suites, Andaz Hotels and Dusit International use ozone treatment on spaces they must hand to paying clients, and over 300 organisations in Thailand use the service. Applying it to your function rooms puts you at the same standard.

10. It is a selling point that actually closes deals

In a seminar proposal, stating that every function room is ozone-disinfected before each event with equipment certified by the Department of Medical Sciences is something most competitors do not have — and something corporate HR departments weigh more heavily every year.

Before and after

Before

  • Six of 140 delegates had allergic reactions within the first two hours
  • A corporate contract worth 2.4 million baht a year lost
  • Bookings from three more organisations lost within six months, roughly another 1.7 million baht
  • Nearly 40,000 baht on air conditioner servicing and over 800,000 baht on new carpet, with the smell returning each time
  • Sheets of mould found on the coil and condensate tray of the ballroom air conditioning
  • Function rooms sealed with the air conditioning off an average of 26 days a month

After

  • No musty smell on opening the door, even in a room closed for three weeks
  • No reported allergic reactions from any delegate across the following eleven months
  • Ozone treatment of every function room before every event as the hotel's new standard
  • About thirty minutes per room, done the night before, with no impact on set-up
  • Two new corporate clients who asked directly about air quality measures
  • Ozone disinfection written into every proposal the sales team sends

How we get you started, in 3 steps

Survey and assessment

The team measures the air volume of each function room, checks the vent positions and duct runs, and assesses the absorbent materials — carpet, curtains, chair covers — to set the ozone volume and number of cycles for the room size.

Preparation and sealing

Any visible mould is surface-disinfected first. Doors and windows are sealed, the air conditioning is set to recirculate so the gas travels the duct work, equipment cupboards are opened, and everyone leaves the area.

Ozone cycle, ventilation and check

The machine runs its automatic cycle of about thirty minutes. The room is then fully ventilated, surface moisture in carpet and fabric is checked, and the room is ready for use the next morning.

What a customer says

“I lost 2.4 million baht over something I had never thought of as an issue. When the technician opened the ceiling and showed me the ballroom coil, I sat down on the floor. We now ozone-treat every function room the night before every event. It is one line on a checklist, and it is the most expensive line I have ever learned — and now the sales team uses it to close deals.”

Khun Thanakrit S. — general manager, 120-room hotel, Prachuap Khiri Khan

Why function rooms are the worst mould risk in a hotel

Guest rooms are occupied almost daily, run their air conditioning almost continuously, are entered by housekeeping every day and get aired periodically. A function room is the opposite on every count: used occasionally, sealed the rest of the time.

Function rooms are also filled with the most absorbent, spore-trapping materials in the building: wall-to-wall carpet, hundreds of fabric chair covers, heavy floor-length curtains, and acoustic panels on walls and ceiling.

Add a large air conditioning system with long duct runs and residual condensate sitting in the coil after shutdown, and the room provides everything mould needs: dark, damp, still, and rich in organic material.

What makes it more dangerous than any other space is the usage pattern. The room does not release spores gradually every day. It releases the whole month's accumulation at once, on the morning someone switches on the air conditioning to welcome a hundred people.

The pre-event checklist every hotel should have

After the incident, Khun Thanakrit's hotel rebuilt its function-room preparation procedure. He says the single most important change was moving preparation from the day of the event to the night before.

The new steps are: one, run the air conditioning for at least two hours the night before to drive out residual moisture; two, ozone-treat the whole room with the air conditioning recirculating so the gas travels the duct work; three, ventilate fully after the cycle; four, set the room as normal on the morning of the event.

For rooms unused for more than three weeks, the hotel now schedules ozone treatment as a routine even without an event, so mould never accumulates to the level that requires fixing afterwards.

He calculates that the entire annual cost of the new measures is still less than the single carpet he replaced that did not solve the problem, and a tiny fraction of the contracts he lost.

Frequently asked questions

How long does a 250-seat room take?

It depends on air volume. Large rooms typically need several consecutive cycles of about thirty minutes each. The team assesses the number of cycles at the survey, and the work is normally completed in one night.

Do tables and chairs have to be moved out?

No. Ozone is a gas and reaches everywhere including under tables and behind backdrops. Your banquet team can set the room in advance as normal, though we recommend leaving equipment cupboards open.

Will it damage the carpet or the curtains?

No. Concentration and duration are controlled by the certified machine's digital timer. It does not fade carpet, does not embrittle curtains, and leaves no moisture behind for the carpet to grow mould again.

How often should it be done?

For rooms in use, before every event. For rooms standing empty, at least monthly as a routine so mould does not accumulate in the air conditioning system.

Does ozone replace air conditioner servicing?

No — they complement each other. Servicing removes the heavy dust and deposits from the removable parts; ozone destroys mould and spores in the parts that cannot be removed. Both should run on their own schedules.

Can anyone stay in the room during treatment?

No. Everyone leaves during the cycle and re-entry follows full ventilation. This is standard procedure every time.

What certifications does the equipment hold?

WHD uses the Master Ozone Generator, the only ozone brand in Thailand certified by the Department of Medical Sciences, Ministry of Public Health, and tested by Intertek UK. Documentation is available for corporate proposals.

Is anything included for larger jobs?

For bookings of 15,000 baht and above, WHD includes free hospital-grade CHEMGENE HLD4H spray disinfection — well suited to preparing several function rooms before a large event.

Two hours in a room that had been sealed for twenty-six days cost four million baht in contracts

If your function rooms sit sealed between events and you run the air conditioning at full power before guests arrive, you are blowing a month of accumulated growth out of the system at the worst possible moment.

Ozone treatment reaches the duct work and coil that cannot be washed, destroys the mould and spores at the source, handles the odour in carpet and curtains in the same cycle, leaves no residue on surfaces guests touch, and finishes in about thirty minutes per cycle the night before the event.

For bookings of 15,000 baht or more, WHD includes free hospital-grade CHEMGENE HLD4H spray disinfection.
